Overview of creating accounts

Introduction

This page allows you to create different types of accounts, namely company accounts and person accounts. However, creating accounts will depend on the account settings at Customers à Setup à Other à Settings. If the Type: Select check box under the Accounts section is selected, users can create any type of accounts such as prospect, customer, associate, and other accounts. Otherwise, users can only create not validated accounts.

To view, create, and modify person accounts, the Activate: Persons check box under the Persons section on the Accounts: Settings page has to be selected. For more information, see Defining account settings, Viewing person account cards, and Creating and modifying person accounts.

Note:

  • Type Customer is unavailable if the Mandatory: Contract check box is selected at Customers à Setup à Other à Settings under the Customer section.
  • Only company accounts can be created by batch via Customers à Entry à Entry à Accounts batch entry. For more information, see Creating multiple accounts.

All users are able to create accounts.

How do I create company accounts?

  1. On the Select: Type page, select the type of account in the Type: Company column.

How do I create person accounts?

  1. On the Select: Type page, select the type of account in the Type: Person column.
    For more information, see Creating and modifying person accounts.

How do I upload business cards to create or update account cards?

  1. On the Select: Type page, select Upload: vCard.
  2. Click Browse…, and then select the vCard file that you want to upload to Exact Synergy Enterprise. The vCard is in the .vcf file format.
  3. Click Submit.
  4. Click Close to exit.

Keep in mind:

  • During uploading, the system will check the information in the vCard against the existing accounts based on certain criteria, such as the account name, address, and contact person ID. If the criteria are met, the information in the existing account card will be updated with the information in the uploaded vCard. Otherwise, a new account card and contact card will be created.
  • A summary will be displayed after the business card has been successfully uploaded. If an account has been created, you can click the account hyperlink at Account to view the account card. Otherwise, click the contact hyperlink at Contact: to view the updates on the contact card.
